Configure billing documents

Configure the legal identity and numbering rules that Nox Billings snapshots onto new documents. Do this before the first live sale, then test with demonstration data before staff use the counter.

Before you begin

  • Sign in as an Owner on web.
  • Confirm the business name, address, tax registration details, and location that should issue documents.
  • Decide who owns invoice numbering and which prefix belongs to each issuing context.
  • Have the intended UPI details available if you want a payment destination printed or displayed.
Tax and payment boundary

Nox Billings records the configuration you enter; it does not validate your tax position or confirm settlement from a bank, card network, or UPI provider. Have an appropriate adviser review tax requirements for your business.

1. Create the business identity

Open Settings → Business identities and create the issuing identity. Enter only verified business details. Review the saved record before continuing; later invoice records may retain a snapshot even if settings change.

2. Create a billing profile

Open Settings → Billing profiles. Link the correct business identity, choose the applicable document behavior, and save the profile. Keep separate profiles when two locations genuinely issue under different identities or configurations.

3. Create the document series

Open Settings → Document series and define the document type, prefix, starting sequence, and applicable financial year or reset behavior shown by the form. Avoid reusing a prefix that another active series already owns.

Number allocation is a controlled server operation. Do not promise a specific next number until the document is actually issued.

4. Configure a payment destination

If the business accepts UPI, open the relevant billing settings and add the payee details used for the generated payment destination. Verify the displayed payee name and identifier with a test document.

Payment destinations help present payment instructions. They do not automatically reconcile a payment with an invoice.

5. Assign and test

Assign the intended billing profile to the correct location or sub-account. Create a low-value test document using demonstration data, then verify:

  • legal name, address, and registration fields;
  • document type, prefix, and number;
  • place-of-supply and tax presentation where applicable;
  • totals, rounding, and payment destination;
  • receipt or document rendering on the target device.

Expected result

New documents issued from the selected location use the assigned identity, billing profile, and document series. Existing issued documents keep their recorded snapshot and should not silently change when settings are edited.

Recovery

  • A profile is unavailable: confirm it is active and assigned to the current location.
  • The wrong identity appears: stop issuing documents, correct the location assignment, and use the supported correction workflow for affected records.
  • A series conflicts or skips: do not manually renumber issued documents. Review the series configuration and audit history.
  • UPI details are wrong: remove or correct the destination before issuing another document; separately verify any payment outside Nox Billings.
